Collection notices at the time we collect your data

Whenever we collect personal information directly from you—such as on a booking form, a quote request, a franchise enquiry form, or our liability waiver—we provide a brief collection notice. This notice explains exactly who is collecting the information, why it is needed, and provides a link back to this full policy.

What we collect and why

We only collect information that we need to provide our services, keep our events safe, and run our business.

  • Booking and quote enquiries: We collect your name, email, phone number, event details, and location through our website forms so we can provide quotes and manage your booking.
  • Liability waivers: Before using our simulator, participants must sign a waiver for insurance and liability purposes. We collect your name, contact details, and email address.
  • Purchases: If you book an event, pay a deposit, or buy equipment, we collect transaction details. We do not store your payment card details. All payments are handled directly by our secure payment provider.
  • Franchise enquiries: If you apply to become a franchisee, we collect your contact details, business background, and any information provided under a Non-Disclosure Agreement (NDA) to assess your application.
  • Website analytics and advertising: We use Google Analytics 4 and Google Ads to understand how people use our website and measure our marketing. We track nine specific conversion events (such as submitting a booking form, requesting a quote, purchasing equipment, or clicking to call). This collects data using cookies and device identifiers.
  • Blog and general site use: When you visit our website, our servers automatically log information such as your IP address, browser type, and device information to keep our site running properly and securely.
  • Marketing email: If you opt in, we collect your name and email address to send you news and offers.

How we collect your information

  • Directly from you: When you fill out a form, sign a waiver, make a purchase, or contact us.
  • Automatically: Through cookies and server logs when you visit our website.
  • From third parties: Such as parents, guardians, or schools providing consent on behalf of minors.

Children and young people

We regularly attend schools, youth programs, and family events. At supervised events, we collect limited information from participants under 18—typically just a first name and a score for the leaderboard. We only do this under consent obtained from a parent, guardian, or the school running the event. A parent or guardian must sign the liability waiver.

We do not collect contact details from minors, we do not ask them for marketing consent, and we do not market to them.

Photography, video, and likeness

Our Full Swing KIT simulator uses a camera system to capture clips of participants swinging.

  • How we use it: These clips are captured and shared directly with the participant.
  • How to request removal: If you want a photo or video of yourself (or your child) deleted from our systems, please email us. We will action your request as quickly as possible.

Leaderboards and competitions

At our events, participant names and simulator scores are displayed publicly on screens so players can track the competition.

How we use your information

We use your information primarily to deliver our services, process payments, ensure safety at our events, and respond to your enquiries.

Direct Marketing: If you have given us permission, we may send you marketing emails. Under the Spam Act 2003 (Cth), you have the right to stop receiving these at any time. You can opt out by clicking the "unsubscribe" link at the bottom of any marketing email, or by contacting us directly.

Who we disclose it to, and overseas disclosure

To run our business, we use trusted third-party service providers. We only share the information they need to do their jobs. Some of these providers store data outside of Australia.

Here is exactly who we share data with and where it goes:

  • Database and file storage: Hosted by Supabase in Sydney, Australia. This includes booking records, waivers, and captured video clips.
  • Website hosting: Hosted by Vercel in the United States.
  • Transactional emails (e.g., booking confirmations, receipts, waiver links): Processed by Resend in the United States.
  • Marketing email platform: Processed by Brevo in France.
  • Analytics and advertising: Processed by Google in the United States.
  • AI features: We use Anthropic in the United States to help handle inbound enquiries and generate content. If you submit a form or email us, your enquiry text and email content is sent to this provider.
  • Payment processing: Handled by Airwallex in Australia.
  • Franchisees: We share booking details (customer name, contact details, and event location) with the local franchise operator who delivers the event in your territory. Franchisees can only see data for their own territory.
  • Professional advisers and legal requirements: We may share information with our insurers, lawyers, or when strictly required by law.

Business sale or restructure

If we sell or transfer part or all of our business, or if a franchise territory changes hands, customer records and event data relevant to that territory will be transferred to the new owner or operator so they can continue to provide services to you.

Cookies and tracking

We use cookies to make our website work and to assist with Google Analytics 4 and Google Ads.

How to opt out: You can manage or disable cookies in your web browser settings. To opt out of Google Analytics, you can install the Google Analytics Opt-out Browser Add-on. To manage your Google Ads preferences, visit your Google Ad Settings.

How long we keep it

We only keep your personal information for as long as we need it to provide our services, manage our business, or meet legal and insurance requirements.

  • Video clips: Captured video clips of participants (including minors) are stored securely.
  • When we no longer need your general information, we take reasonable steps to securely destroy or de-identify it.

How we keep it secure

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. This includes using access controls, secure third-party platforms, and restricted access to our physical equipment.

How to access or correct your information

You have the right to request access to the personal information we hold about you, or ask us to correct it if it is inaccurate.

  • We will respond to your request within 30 days. We will not charge you for making a request, though we may need to verify your identity first.

How to make a complaint

If you believe we have breached the Australian Privacy Principles, please contact us with your concerns. We will investigate your complaint and respond to you in writing within 30 days.

What happens in a data breach

In the unlikely event of a data breach that is likely to result in serious harm to you, we will notify you and the OAIC as required by the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth).

We may update this Privacy Policy from time to time to reflect changes in our business or the law. The updated version will be posted on our website with a new effective date.
